Virtual Secret Santa: how to swap gifts at a distance

Distance does not have to get in the way of a good gift exchange. With a little planning, a remote team or a scattered family can enjoy Secret Santa just as much as a group in one room.

Start early and mind the shipping

The biggest difference with a virtual exchange is the post. Parcels take longer in December, and international deliveries can take weeks or get held up at customs. Work backwards from your exchange date:

  • Same country: ask givers to order or post at least 10 days before the exchange.
  • Across borders: allow three weeks or more, and check for customs fees the recipient might have to pay.
  • Running late? Switch to a digital gift or a local delivery service. Nobody needs to know.

Sharing addresses without spoiling the surprise

To send a physical gift, the giver needs the recipient's address, but the recipient should not find out who is sending it. A few ways to handle this:

Put it in the wishlist hint

Participants can add their delivery address, or a work address, to their wishlist hint. Only the person who drew them sees it on their private reveal page.

Go through the organizer

Givers message the organizer privately, who passes on the right address. This works well for people who would rather not write their address anywhere.

Ship direct from a shop

Many online shops let you send a gift straight to someone else's address, with a gift note and no price on the receipt.

Go fully digital

No address needed at all. Digital gifts arrive instantly and suit very spread-out groups.

Privacy tip: Only share addresses with people you trust. For work groups, a delivery to the office, a parcel locker or a digital gift may feel more comfortable than a home address.

Unwrapping together on a video call

The shared reveal is what makes a virtual exchange feel like a real event. Pick a date and time, send the link in your message to everyone, and ask people to keep their gift wrapped until the call.

  1. Start with a few minutes of chat, festive jumpers optional.
  2. Go round one at a time. Each person opens their gift on camera.
  3. Let the recipient guess who their Secret Santa was before the giver owns up, or keep it a mystery.
  4. Take a group screenshot at the end as a souvenir.

For groups larger than about 15, consider splitting into smaller breakout rooms so the call does not drag.

Games to liven up the call

  • Guess the giver: after each unwrapping, everyone votes on who they think sent it.
  • Wrapping contest: vote on the most creative or most chaotic wrapping job.
  • Festive quiz: a quick round of holiday trivia while people top up their drinks.
  • Show and tell: each person shares a favourite winter tradition from where they live.

Working across time zones

When your group spans continents, there is rarely a perfect time. Choose a slot that falls within reasonable hours for most people, often late morning in Europe or early evening in Asia-Pacific. Rotate the inconvenient slot each year. If the spread is too wide, run two short calls, or let people record a quick video of their unwrapping and share it in the group chat.

Make sure the exchange date in your draw is clear about which time zone you mean, and state it again in your message to everyone.

Digital gift ideas

Digital gifts remove shipping worries completely and work in almost any budget:

  • An e-book or audiobook from a wishlist hint
  • A month or two of a music, film or app subscription
  • An online class, from cooking to drawing
  • A gift card for a shop or café near the recipient
  • A donation to a charity the recipient cares about
  • A digital game or a puzzle app

Check that the gift works in the recipient's country before you buy, as some services and vouchers are region-locked.
